Import signed waivers

Your existing members already signed something. Importing those means you’re not asking 300 people to re-sign on day one.

How it works

Upload your waivers

A batch of PDFs. Filenames that identify the member help — “smith-john-waiver.pdf” matches automatically.

Avex matches them to members

Automatic matching by filename against your roster.

Review the matches

Confirm, override, or skip anything unmatched. Nothing is attached to a member without your confirmation.

Finalize

Documents attach to member records as signed.

How imported waivers are labeled

Imported documents are marked as imported rather than showing a fabricated signature date. Staff and member views both say “on file — imported.”

This is deliberate. Showing an import timestamp as though it were a signature date would misrepresent your records, which is exactly wrong for a document whose value is its accuracy.

Deciding whether to re-sign

Import if your existing waiver is current and adequate. Have members re-sign if:

  • Your terms have changed materially
  • Your old waiver was thin
  • You’re switching insurers and they want a specific form

If re-signing, require it for check-in — it collects itself within a week.
