How a member enrolls
Web MobileThis is the exact path a prospect takes to become a paying member. Knowing each step lets you tell someone where they are and what’s next when they call you halfway through.
The short version
A prospect finds your gym page, picks a plan, signs your waivers, enters a card, and lands in the member portal with an active membership. No staff action required.
Step by step, from your member’s side
They open your gym page
Your public page lives at avex-os.com/gym/your-gym-slug. It shows your logo, description, address, class schedule, published plans with pricing, and upcoming events.
They reach it from your website, a link you sent, a QR code, or the in-app gym directory if you’ve turned on discoverability.
They tap Join and pick a plan
Only plans with visibility set to Public appear here. Anything set to Hidden or Archived stays off this page — that’s how you keep staff-only or legacy pricing out of view.
They create their account
Email and password. If they already have an Avex account — say they used the app to track lifts before joining — Avex detects it and links the existing account instead of creating a duplicate.
They sign your required waivers
Every document you’ve marked Required for all members, plus any document required for the specific plan they chose, appears here. They sign on-screen with a finger or trackpad.
They cannot continue past this step without signing. This is deliberate: it’s how you guarantee no member ever reaches the gym floor unsigned.
They enter payment
Card details go straight to your own Stripe account. Their subscription starts on your plan’s terms — including a free trial if the plan has trial days set, and a setup fee if you charge one.
They’re in
The membership activates and they land in the member portal. From here they can book classes, see today’s workout, and open the mobile app with the same login.
What happens on your side
The moment they finish, without you doing anything:
- They appear in Members with status
Member - A Stripe customer and subscription are created on your connected account
- They sync to your CRM as a contact
- Your staff receive a new-member notification
- If you have Member Onboarding switched on, Avex AI begins its 30-day welcome sequence
Notes
- A member cannot become active without both an active subscription and signed required documents. This is enforced at the database level, not just in the sign-up form — so there’s no path, including staff error, that produces an unsigned active member.
- If someone abandons the flow partway, they stay a
Leadwith no charge. You can follow up manually or let Lead Follow-up handle it. - Members who join at the front desk instead follow a different path — see Add a member manually.
