Getting StartedBuild your class schedule

Build your class schedule

Web Owner · Admin · Manager

Build class types first, then create recurring classes from them. Done this way, a full weekly timetable takes about fifteen minutes.

Before you start

Confirm your gym timezone is correct in SettingsGeneral. Every class time you enter is interpreted in that timezone, and fixing it afterward means rebuilding the schedule.

Step 1 — Create your class types

A class type is the template. “CrossFit,” “Olympic Lifting,” “Open Gym,” “Foundations.”

Go to Schedule → Class Types

Add a type

FieldNotes
NameWhat members see
ColorUsed on the calendar — give each type a distinct one
Default capacityPre-fills when you create classes of this type
Default durationIn minutes
Requires bookingOff for drop-in style sessions like open gym
Allow waitlistLets members queue when the class is full

Step 2 — Create your recurring classes

Go to Schedule → Recurring

Click New Recurring Class

Set the pattern

Pick the class type, instructor, location, start time, duration, and which days of the week it runs. Avex generates every occurrence forward.

Set the booking rules

RuleWhat it controls
Booking opensHow many hours ahead members can book
Booking closesHow many minutes before start booking shuts
Cancel cutoffHow late someone can cancel without it counting as a late cancel
CapacityHow many spots
Waitlist capacityHow many can queue beyond capacity

Save

Repeat for each recurring slot on your timetable.

Editing later

Classes generated from a series can be changed three ways:

  • This class only — cancel one Tuesday for a holiday
  • All future classes — a permanent time or capacity change
  • Change series days — move the whole series to different weekdays

What your members see

Published classes appear immediately in the member portal, the mobile app, and your public gym page. Members can book as soon as the booking window opens.

If you cancel a class, every booked member is notified automatically by push and through your CRM. You don’t have to tell them.

Notes

  • Waitlist promotion is automatic. When someone cancels, the next person queued is promoted and notified — no staff action.
  • Class limits are enforced here. A member on a 3x-per-week plan is blocked from booking a fourth class in the same week.
  • Members on plans scoped to specific class types only see and book those types.
