How a member books a class
Web MobileWhat they do
Open Schedule
They see your published classes with time, coach, location, and remaining spots.
Tap a class
A detail sheet opens with the full description, coach, capacity, and how many spots are left.
Tap Book
Confirmed instantly. It appears under Bookings and they get a confirmation notification.
When the class is full
If you’ve enabled a waitlist on that class type, they see Join Waitlist instead of Book, and they’re told their position in the queue.
Promotion is automatic. The moment someone cancels, the first person on the waitlist is booked and notified. No staff action, no manual list.
How they cancel
From Bookings, they open the class and tap Cancel Booking.
If they cancel after your cancel cutoff, the booking is flagged as a late cancel and stays visible on your side. Avex records it — what you do about it is your policy.
Why a booking gets blocked
When a member says “it won’t let me book,” it’s almost always one of these:
| Reason | What they see | Fix |
|---|---|---|
| Booking window hasn’t opened | Class is visible but not bookable | They wait, or you widen the booking window on that class |
| Booking window has closed | Booking button gone as class approaches | Check them in as a walk-in instead |
| Class is full, no waitlist | No book button | Enable a waitlist on that class type |
| Weekly limit reached | Blocked with a limit message | Their plan caps classes per week — upgrade them or wait for the week to roll |
| Plan doesn’t cover this class type | Class not visible to them | Their plan is scoped to specific class types |
| Unsigned required document | Blocked with a document prompt | They sign it; then booking works |
| No active subscription | Limited access | Their payment failed or the membership lapsed |
What you see
Every booking appears on the class roster in Schedule. You can book someone manually, cancel on their behalf, and mark no-shows.
