How a member checks in
Web MobileSelf check-in from the app
They open the app
If they have a booking for a class starting soon, a check-in prompt appears on home.
They tap Check In
Recorded instantly. Their visit count increments and they get a confirmation.
Open gym check-in
For sessions that aren’t a booked class, a member checks in without a booking. This records the visit and counts toward their totals and milestones — it just isn’t tied to a class.
When staff check them in
Most gyms run check-in at the front desk. From Check-Ins, staff search the member and check them in — with or without a booking.
Both paths record the same thing. The difference is the method stored on the record: app when the member did it, staff when you did.
Check-in methods
Avex records how every check-in happened:
| Method | When it’s used |
|---|---|
| App | Member self-checked in |
| Kiosk | Front-desk tablet |
| Staff | Someone on your team checked them in |
| Barcode | Scan-based entry |
| Auto | System-generated |
This shows up in reporting, so you can see how your members actually arrive.
What blocks a check-in
An unsigned required document. If you’ve marked a document Required for check-in, a member who hasn’t signed it is blocked until they do. They see a prompt with the document; signing it clears the block immediately.
This is the intended behavior — it’s how you guarantee nobody trains unsigned.
What happens after
Every check-in:
- Increments their lifetime visit count
- Updates their last-visit date
- Feeds attendance reporting
- Can trigger a milestone celebration at 50, 100, 250, and 500 visits
- Feeds the churn model — a drop in check-in frequency is the strongest early cancellation signal
Undoing a mistake
Staff can undo any check-in. The visit count decrements correctly — it doesn’t leave a phantom visit behind.
