Set up a waitlist
Web Owner · Admin · ManagerTurning it on
Waitlists are enabled per class type. Go to Schedule → Class Types, open the type, and turn on Allow waitlist.
Then set waitlist capacity on the class or series — how many can queue beyond the class capacity.
How promotion works
Automatic. When a booked member cancels, the first person on the waitlist is booked into the spot and notified immediately. No staff action, no manual list, no first-to-refresh-wins.
Members see their queue position while waiting.
Why this matters
A full class with no waitlist is a lost booking every time someone cancels. With a waitlist, spots refill themselves — usually within minutes of a cancellation, because the promoted member gets a push notification.
Setting waitlist capacity
Deep enough to cover normal churn, shallow enough to be honest. If a class of 20 typically sees 3 cancellations, a waitlist of 5 is realistic. A waitlist of 20 on a class of 20 sets up disappointment.
What members see
- Join Waitlist instead of Book when the class is full
- Their position in the queue
- A push notification the moment they’re promoted, telling them they’re in
Notes
- Promoted members are booked, not asked to confirm. If they can’t attend they cancel like any other booking.
- Waitlist promotion respects weekly class limits — a member at their cap isn’t promoted.
- Cancelling off a waitlist is instant and carries no late-cancel flag.
