A document can carry fields assigned to a guardian as well as the member. When the document is signed, the guardian’s relationship to the member is recorded alongside the signature.
Setting it up
Build the document
Include the clauses your guardian needs to acknowledge.
Place guardian fields
When placing fields, set the assignee to guardian for the signature, printed name, and any acknowledgment fields.
Assign it to your youth plan
Use Required for specific plans so it only applies to youth members.
What gets recorded
- The guardian’s signature
- Their relationship to the member — parent, legal guardian, etc.
- Timestamp, IP address, and device
- The generated PDF
That relationship field is the part that matters if the document is ever tested. A signature with no recorded relationship is weaker evidence.
Notes
- Consider capturing the guardian’s contact details as a custom member field on the youth member’s record.
